Sales decks show polished sample reports built to look good. Ask to see one generated from an actual messy job, or better, build one live from a simulated job during the demo. That's what your office will actually be working with.
3. "How does this organize photos if my tech shoots rooms out of order?"
Hand them a scenario: a tech photographs the kitchen, then the hallway, then back to the kitchen. Watch how the software sorts that, not how the salesperson describes sorting it.
4. "Walk me through logging a moisture reading and seeing it trend across visits."
This is the difference between a real water mitigation workflow and a notes field that happens to hold numbers. Ask them to show a reading logged today, then how you'd compare it against a reading from three days ago at the same point.
5. "What happens to my data if I cancel next month?"
Ask this one directly and watch how it's answered. A vendor with a clear, immediate answer is telling you something different than one who says they'll "follow up with details."
6. "Can I get a signature on-site, and where does it end up?"
Confirm the signed form lands in the same job file as the photos and readings, not a separate signing tool you'd have to check independently.
7. "How long does a floor plan actually take, and what do I need to capture it?"
Some tools generate a floor plan instantly on a phone or tablet. Others require a separate device or a processing wait measured in hours. Ask for the real number, not "it's fast."
8. "If I hand this to a tech who's never used documentation software, how long until they're productive?"
Push past "it's intuitive." Ask what a first day actually looks like for someone with zero experience on the platform.
9. "Can I run a real job through the free trial before I commit my crew?"
If the answer is no, or comes with heavy restrictions, that tells you something on its own.
